Dave Coaches Ltd (“Dave Coaches”, “we”, “us” or “our”) respects your privacy and is committed to protecting your personal information.

This Privacy Notice explains what information we collect, why we collect it, how we use and protect it, and your rights in relation to your personal information.

Who we are

Dave Coaches Ltd provides professional coaching services.

For the purposes of UK data protection law, Dave Coaches Ltd is the controller of the personal information described in this notice.

If you have any questions about this Privacy Notice or how your personal information is used, please contact:

Information we may collect

The information we collect depends on how you interact with us and may include:

  • your name and contact details, including your email address;

  • information you provide when arranging a chemistry call or other meeting;

  • information you provide when contacting us by email, through our website, LinkedIn, Instagram or other communication channels;

  • correspondence between you and Dave Coaches;

  • contracts and information relating to our coaching relationship;

  • coaching notes;

  • invoicing, payment and other financial information; and

  • information you choose to share during coaching sessions.

Coaching conversations are personal by their nature. You may voluntarily choose to share information about your health, wellbeing or other sensitive aspects of your life. Where this amounts to special category personal data under data protection law, we will treat it with additional care and only process it where we have an appropriate legal basis and condition to do so.

Please only provide information that you are comfortable sharing and that is relevant to our coaching relationship.

How we use your information

We may use your personal information to:

  • respond to enquiries;

  • arrange chemistry calls and other meetings;

  • decide whether we are a good fit to work together;

  • provide coaching services;

  • communicate with you during our coaching relationship;

  • maintain appropriate coaching and business records;

  • manage contracts, invoicing and payments;

  • operate and improve Dave Coaches; and

  • meet our legal, regulatory, tax and accounting obligations.

We do not sell your personal information.

Our legal basis for using your information

Depending on the circumstances, we process your personal information because:

  • it is necessary to take steps at your request before entering into a contract or to perform our contract with you;

  • it is necessary for our legitimate interests in operating and managing Dave Coaches and providing our services, where those interests are not overridden by your rights;

  • we need to comply with a legal obligation; or

  • you have given us consent where consent is the appropriate basis.

Where you voluntarily provide special category personal information during coaching, we will only process that information where an appropriate condition under data protection law applies. Where necessary, we may ask for your explicit consent.

Services we use

We use trusted third-party services to help operate Dave Coaches.

These include Microsoft 365, including Outlook, calendar services and Microsoft Teams, for business communications, scheduling and online coaching calls.

We also use Calendly to allow people to arrange chemistry calls and other meetings. When you use Calendly, information you provide through the booking process is also handled in accordance with Calendly's own privacy information.

Other professional service providers, such as accountants or professional advisers, may have access to limited personal information where this is necessary for them to provide their services or for us to meet our legal obligations.

We only share personal information where there is a legitimate reason to do so.

Some service providers may process information outside the UK. Where this happens, we take reasonable steps to ensure that appropriate data protection safeguards are in place.

How long we keep your information

If you become a coaching client, we will normally retain coaching records, correspondence and related client information for 12 months after our coaching engagement ends, after which they will be securely deleted or anonymised unless there is a legitimate or legal reason to retain them for longer.

Information relating to an initial enquiry that does not result in a coaching engagement will only be kept for as long as reasonably necessary to deal with the enquiry and any appropriate follow-up.

Financial, accounting and tax records will be retained for longer where required by law. We will generally retain relevant company financial records for six years from the end of the financial year to which they relate, or longer where required.

Website information and analytics

The Dave Coaches website may collect limited technical information necessary for the website to operate and to provide aggregated information about how the website is being used.

We do not currently use advertising trackers or third-party advertising cookies on the website.

If this changes, we will update this Privacy Notice and, where required, provide appropriate choices regarding cookies or similar technologies.

Marketing

You can ask us to stop sending you direct marketing communications at any time by contacting dave@dave.coaches.com.

Keeping your information secure

We take reasonable organisational and technical measures to protect personal information against loss, misuse, unauthorised access, disclosure or alteration.

We also aim to collect and retain only the personal information that is reasonably necessary for the purposes described in this notice.

Your rights

Depending on the circumstances, UK data protection law gives you rights in relation to your personal information. These may include the right to:

  • ask for access to the personal information we hold about you;

  • ask us to correct inaccurate or incomplete information;

  • ask us to delete your personal information;

  • ask us to restrict how we use your information;

  • withdraw your consent where we rely on consent.

Some of these rights are subject to legal conditions and exceptions.

If you would like to exercise any of these rights, contact dave@dave-coaches.com.

You also have the right to raise a concern with the Information Commissioner's Office (ICO), the UK's data protection regulator.
